Position Configuration Tab
Setting up Position Categories
To add a new position category:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Categories.
- Click the Add New button.
- Enter the new name in the Category Name field that appears. Click Save to confirm the addition or Cancel to return to the Categories screen.
To edit a position category:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Categories.
- From the Available Categories dropdown list, click the down arrow and select the category you wish to edit.
- Click the Edit button.
- Edit the name in the Category Name field that appears. Click Save to confirm the changes or Cancel to return to the Categories screen.
To delete a position category:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Categories.
- From the Available Categories dropdown list, click the down arrow and select the category you wish to delete.
- Click the Delete button.
- A warning box appears to verify your selection. Click Yes to confirm the delete or Cancel to return to the Categories screen.
Setting up Positions
Note:
To customize/edit Position Name, Category, Factors, Goals, etc., continue to the next section Customizing a Position.
To create a position from a Master Template:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Master radio button.
- From the Master Categories dropdown list, click the down arrow and select the category that contains the Position you wish to access.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to move to the Company Position list.
- Click the Copy to Company button.
- A warning box appears to verify your selection. Click Yes to confirm the copy or Cancel to return to the Positions screen.
- To customize the position and assign Factors, see the Customizing a Position and Editing Factors in a Position sections below.
Note:
You may not have more than one position with the same name, located in the same category. If you try to add the same position twice, you will receive a warning message that tells you the position title already exists. Either rename one of the positions or assign one to a different category.
To create a new position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select a category to which the position will be assigned. (This field is mandatory.)
- Click the Add New button.
- Enter the new position name by clicking in the Name field and typing. (This field is mandatory.)
- If you have enabled Job Descriptions: Associate with Position in Company Settings and have built a list of Company job descriptions, insert your cursor in the Job Description box to attach a job description to the position.
- Select the appropriate job description from the list that appears or enter a name in the Search Job Descriptions box.
- Click Select to assign the Job Description or Cancel to return to the Positions screen.
- Click Save on the toolbar.
- To customize the position and assign Factors, see the Customizing a Position and Editing Factors in a Position sections below.
Note:
Factors cannot be created from the Position screen. To create a new Factor you must do so on the Factors screen.
Warning:
Editing a position when an appraisal is in progress can result in the loss of data.
To duplicate a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to duplicate.
- To see all positions, regardless of category, click Show All.
- Click the Duplicate button. The duplicated position will appear in the Available Positions list box with (Copy) attached to the end of the title.
- To customize the position and assign Factors, see the Customizing a Position and Editing Factors in a Position sections below.
To delete a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to delete.
- To see all positions, regardless of category, click Show All.
- Click the Delete button.
- A warning message will appear. Click Yes to confirm the delete or Cancel to disregard and return to the Positions screen.
- Click Save on the toolbar.
Note:
You cannot delete a position currently assigned to an employee. You must first reassign employees to new position titles and then delete the position. You also cannot delete a position if it is in past performance appraisals or assigned to terminated employees.
Warning!
Deleting a company position will permanently remove it from the system.
Customizing a Position
To rename a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to rename.
- To see all positions, regardless of category, click Show All.
- Make edits to the position name by placing your cursor in the Name field.
- Click Save on the toolbar.
To assign a position to a category:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to assign to a new category.
- To see all positions, regardless of category, click Show All.
- In the Edit Position section, from the Category dropdown list, select the new category.
- Click Save on the toolbar.
To assign a Job Description to a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to work with.
- To see all positions, regardless of category, click Show All.
- Insert your cursor in the Job Description box.
Note:
You may change how the job descriptions are displayed by clicking the List Job Descriptions alphabetically or List Job Descriptions by category radio buttons.
- Select the appropriate Job Description from the list that appears or enter a name in the Search Job Descriptions box.
- Click Select to assign the Job Description or Cancel to return to the Positions screen.
- Click Save on the toolbar.
Editing Factors and Weights in a Position
To add performance Factors and weights to a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to edit.
- To see all positions, regardless of category, click Show All.
- The Factors already assigned (if any) will display. To add a new Factor to this position, click the Add New button below the Factor list.
- A dropdown list of Factor categories and a list of Factors within the displayed category will appear.
- From the Category dropdown list, click the down arrow and select the category that contains the desired Factor.
- Click on the desired Factor from the list that appears or, if necessary, choose a different category to view more Factors that are available. Click OK to select the Factor or Cancel to return to the Positions screen.
- Enter a weight for this Factor in the Weight field. Remember, the total of all Factor weights must equal 100%.
- Repeat steps 8-12 until all desired Factors have been added and the total of all weights equals 100%.
- In the Order field beside each Factor, click on the arrow pointing up if you wish to move the Factor up, or on the arrow pointing down if you wish to move the Factor down in the display order.
- Click Save on the toolbar.
Note:
Total Factor weights must equal 100%. The total will appear in red if they do not equal 100%. You will not be allowed to complete a Factor appraisal on an employee who is assigned a position with weights that do not equal 100%.
To remove performance Factors from a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to edit.
- To see all positions, regardless of category, click Show All.
- The Factors already assigned will display. To delete a Factor from this position, click the Delete icon next to the Factor name.
- A warning message will appear. Click OK to confirm the delete or Cancel to disregard and return to the Positions screen.
- Repeat steps 8 and 9 until all desired Factors have been removed. Remember, the total of all Factor weights must equal 100%.
- Click Save on the toolbar.
Warning
Deleting a Factor from a position that is assigned to employees will remove any associated scores and comments and clear the employee/appraiser ready dates, merging, and routing of all current appraisals belong to employees assigned to this position. Proceed with caution!
To edit performance Factor weights for a position:
- From the main menu, click System Setup, then click Content Customization.
- Click on the Position Configuration tab.
- Click on Positions.
- Click the Company radio button.
- From the Available Categories dropdown list, click the down arrow and select the category to which the position is assigned.
- From the Available Positions dropdown list, click the down arrow and select the position you wish to edit.
- To see all positions, regardless of category, click Show All.
- The Factors already assigned will display. Edit the weight for the desired Factor in the Weight field. Remember, the total of all Factor weights must equal 100%.
- Click Save on the toolbar.
