Notes

To access Performance History as an appraiser:

  1. In the Logged In As box, make sure your Role is set to Appraiser.
  2. From the main menu, under Employee Documents, click Performance History.
  3. From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
  4. Current and historical appraisals are listed on the Appraisal Form tab. Forms relating to the employee are listed on the Forms tab. Notes are listed on the Notes tab. External files relating to the employee that have been uploaded to Performance Pro are listed on the Additional Documents tab.
  5. Select the documents you wish to view.

To create a new Note:

  1. From the main menu, under Employee Documents, click Performance History.
  2. Click on the Notes tab.
  3. From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
  4. Notes are listed in chronological order, newest to oldest.
  5. Click the Add New Note button. A blank Note appears.
  6. If the Share Note feature has been activated and you wish to allow the employee access to this Note, click in the Shared box.
  7. Insert your cursor in the Note Title field and enter the title.
  8. The Note Date will default to the current date. Edit the date by inserting your cursor in the Note Date field and typing or clicking on the calendar. Enter the appropriate date using a month/ date/four-digit year format (m/d/yyyy).
  9. Insert your cursor in the Note Description field and type the information you wish to include. You have control over basic formatting such as bold, italics, underline, strikethrough, numbered lists, and bullet lists. Click the appropriate icons to manipulate these options.
  10. Click Spelling  and/or Language Check to review your text.
  11. Click Save on the toolbar.
  12. The dated documentation will appear in the employee’s Performance History.

To view, edit, or print an existing Note:

  1. From the main menu, under Employee Documents, click Performance History.
  2. Click on the Notes tab.
  3. From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
  4. Notes are listed in chronological order, newest to oldest, from one year prior to the current date. If the Note you wish to view, edit, or print is showing, click the Edit icon beside it.  If the Note you wish to view, edit, or print is not showing, adjust the date range and click the Find Notes button.
  5. To edit, insert your cursor in the appropriate boxes and type your changes. Click Save from the toolbar.
  6. To print, click the Print button. A new window opens. Print the document using your browser print function. If you would rather view and print the document from a .pdf format, click the PDF button and print through your PDF reader software.

To delete an existing Note:

  1. From the main menu, under Employee Documents, click Performance History.
  2. Click on the Notes tab.
  3. From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
  4. Notes are listed in chronological order, newest to oldest, from one year prior to the current date. If the Note you wish to delete is not showing, adjust the date range and click the Find Notes button.  If the Note you wish to delete is showing, click the Delete icon beside it.
  5. A warn­ing appears asking if you want to permanently delete the Note. Click Yes to continue or Cancel to return to the Notes tab without deleting. Remember that this permanently deletes the documentation!!    

Employee Notes

If the Administrative User has enabled the Employee Notes widget, employees can leave notes reminding themselves of activities, progress in achieving Goals, meeting Factor standards or anything else related to their performance. If Shared Notes has been activated in Company Settings, they can also choose to share these notes with their manager and managers can share notes with employees.

To add a Note:

  1. From your Home Screen, click the Add button in the Employee Notes widget.
  2. If you would like to share the Note with your manager, place a check in the Shared checkbox. A Notify Appraiser checkbox will appear. Check this box if you would like the appraiser notified of the Note. 
  3. Enter a title in the Note Title field.
  4. The Note Date will default to the current date. Edit the date by inserting your cursor in the Note Date field or clicking on the calendar. Enter the appropriate date using a month/date/four-digit year format (mm/dd/yyyy).
  5. Enter the Note Description for your Note. Basic word processing options (Bold, Italics, Underline, Strikethrough, Bullets, and Numbering,) are available.
  6. Click Spelling and/or Language Check to review your text.
  7. Click Save on the toolbar.
  8. Click the Print button to print the Note. A new window opens. Print the document using your browser print function. If you would rather view and print the document from a .pdf format, click the PDF button and print through your PDF reader software.

To edit or delete a Note:

  1. To edit a Note, from your Home Screen, in the Employee Notes widget, click the name of the Note you want to change. Make your changes and then click Save on the toolbar.
  2. To delete a Note, from your Home Screen, in the Employee Notes widget, click the Delete icon next to the appropriate Note, then click Yes to indicate that you are sure you want to make the deletion. The Note is permanently deleted.
