APPRAISERS
To mark an appraisal as Ready:
- In the Logged In As box change your Role to Appraiser.
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
- The Status Overview tab lists the steps in the appraisal process. (It will change as you move through the process.) The next step you need to perform will be hyperlinked to the appropriate tab. Click on the View Current Appraisal link if you should need to refer back to the appraisal.
- Click on the Ready tab. The top section of this tab displays your next step. The Ready for Meeting checklist shows who has or has not marked the appraisal as Ready for Meeting. The Appraisal Checklist shows the status of each Factor and Goal. Make sure all Factors and Goals have been evaluated (evaluated items are indicated by a green check mark (√) for completed and items still requiring attention are highlighted in yellow). If you haven’t completed what is required, click on the item title to be taken to the corresponding section.
- If you wish to view the appraisal before you mark it as Ready, click the View Current Appraisal link. The appraisal may also be printed from this screen.
- When all items have been entered appropriately, click the Mark Ready button. The Mark Ready button can be found on the Status Overview tab as your next step or on the Ready tab.
- The Status Overview tab will display the next step in the process.
To unmark an appraisal as Ready (Administrative Users only):
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
- Click on the Ready tab.
- In the Logged In As box, View dropdown box, select Employee (employee name) if you would like to unmark the employee's Ready status. Select Primary Appraiser (appraiser name) if you would like to unmark the appraiser's Ready status.
- Click the Un-RFM button.
Note:
Remember, depending on features selected in Company Settings, the Merge tab may not appear.
To merge the employee self-appraisal and the appraiser’s evaluations into a single appraisal:
- In the Logged In As box change your Role to Appraiser.
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to merge or click Search on the toolbar.
- On the Status Overview tab, click the Merge the appraisal link or click the Merge tab and click the Merge button on that screen.
- If your company has chosen to make self-appraisals optional and you would like your employee to complete a self-appraisal, wait until they have marked Ready before merging. If you don't want your employee to complete a self-appraisal, click Merge.
- A summary will now appear on the Merge tab listing the appraiser's and employee’s ratings for each Goal and Factor and showing the final score. The top section of the tab will display the next step in the process. Click the View Current Appraisal link to view a copy of the appraisal.
- To allow the employee access to their merged appraisal, click the Allow Employee Access checkbox. (This function will only work if it has been enabled in Company Settings.)
- To remove the employee’s access to their appraisal, simply deselect the Allow Employee Access checkbox.
- You are now ready to conduct the appraisal meeting.
To unmark an appraisal as Ready after a merge (Administrative Users only):
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
- Click on the Merge tab.
- Click Un-Merge.
- Click on the Ready tab.
- In the Logged In As box, View dropdown box, select Employee (employee name) if you would like to unmark the employee's Ready status. Select Primary Appraiser (appraiser name) if you would like to unmark the appraiser's Ready status.
- Click the Un-RFM button.
To Route the appraisal:
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to Route or click Search on the toolbar.
- The Status Overview tab shows those steps that have been finished (noted by a green check mark) and those yet to be finished (noted by a red x). Click the Route the appraisal link or click the Route tab.
- Click the Route button if you would like to Route the appraisal. If a pre-determined Routing Path has been set up, the appraisal will automatically follow that Routing Path. If you are allowed to choose who the appraisal is Routed to, make those selections from the Route Setup dropdown list and then click the Route button.
- The Route tab will now display those to whom the appraisal has been Routed, along with the status of the Route.
Note:
A routed appraisal cannot be edited or Completed until it has been released back to the Appraiser.
To approve a routed appraisal:
- From the home screen, in the Routing Inbox or Routed Items widget, click on the View icon next to the desired appraisal.
- This will open the appraisal in a new screen. View it as necessary. Close the screen.
- If you have edits to make (and have been granted edit ability), in the Logged In As box change your Role to Appraiser.
- From the employee dropdown list on the toolbar, click the down arrow and select the user or click Search on the toolbar.
- Use the Evaluate Factors or Evaluate Goals buttons to make your edits.
- From the home screen, Routing Inbox or Routed Items widget, click on the title of the item. The Routing Approval box will appear.
- If desired and available, click the Add New Note button to add a note relating to the item.
- Click in the Shared checkbox if you'd like the note to be shared with the employee (not the appraiser). The Share Note feature must be activated in Company Settings for this option to be available.
- Click in the Notify Employee checkbox if you'd like the employee to be notified via email of the note. (Shared Note Email Notification must be activated in Company Settings for this option to be available.)
- Edit the default title in the Note Title box if desired.
- The Note Date will default to the current date. Change it if desired.
- Type your note in the Note Description box. Basic formatting options are available above the text area.
- Click Spelling and/or Language Check to review your text.
- Click Save on the toolbar.
- Click the Print button to print the Note.
- Click the Home button to return to the home screen.
- Click on the Item title again from the Routing Inbox.
- Choose your approval response from the Response dropdown menu. Choices are Approved, Approved with Edits, Not Approved, and Skip. (Skip is only available to Administrative Users and if Routing is required and is only being routed to one person, you will not be able to choose Skip.)
- Click OK to save the response or click Cancel to return to the home screen without entering a response.
- If the response was saved, the item will now be routed to the next person in the Routing Path or back to the appraiser.
To complete the appraisal:
- In the Logged In As box change your Role to Appraiser.
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to Complete or click Search on the toolbar.
- The Status Overview tab shows those steps that have been finished (noted by a green check mark) and those yet to be finished (noted by a red x). Click the Complete the appraisal link or click the Complete tab.
- If all final edits have been made, click the Complete button.
Note:
If the appraisal is currently Routed, you will not be allowed to mark it Complete. Routing must be finished before the appraisal is Completed.
- A warning appears reminding you that no further changes may be made and asking if you are sure you want to Complete the appraisal. Click Cancel if you do NOT want to complete the appraisal at this time. Click Complete if you want to Complete the appraisal.
- Once marked complete, a View tab appears containing the appraisal. This tab will disappear once you move away from this screen.
- The completed appraisal may now be viewed from Performance History.
To E-sign an appraisal:
- If you are required to E-sign your appraisal (your organization may not utilize this feature), click the Home button.
- In the Logged In As box change your Role to Appraiser.
- Under the To Be Signed widget, click the appropriate appraisal link.
- Review the appraisal one last time.
- Under the E-Signature heading at the bottom of the appraisal, click the Sign link.
- Click Save on the toolbar.
SELF-APPRAISALS
To finish a self-appraisal:
- In the Logged In As box, make sure your Role is set to Employee.
- From the main menu, click Appraisals, then click Finish Appraisal.
- The top section of the Ready tab tells you what the next step in the appraisal process is. The Appraisal Checklist shows the status of each Factor and Goal. Make sure all Factors and Goals have been evaluated (evaluated items are indicated by a green check mark (√) for completed and items still requiring attention are highlighted in yellow). If you haven’t completed what is required, click on the item title to be taken to the corresponding section.
- If you wish to view the self-appraisal before you complete it, click the View Current Appraisal link or click the Home button and then click the My Current Appraisal button. The appraisal may also be printed from these screens.
- When all items have been entered appropriately and no additional edits are desired, from the Ready tab, click the Notify Appraiser checkbox if you'd like to notify your appraiser that you have marked the appraisal as ready. If this checkbox is not visible, your appraiser will automatically receive a notification. Click the Mark Ready button. No further edits can be made to the self-appraisal at this point unless the Administrative User unmarks the Mark Ready step.
To E-sign an appraisal:
- If you are required to E-sign your appraisal (your organization may not utilize this feature), from the toolbar, click Home.
- Under the To Be Signed widget, click the appropriate appraisal link.
- Review the appraisal one last time.
- Under the E-signature heading at the bottom, click the Agree or the Disagree radio button.
- If you would like to add a comment click the Add Comment link. Enter your comments and click Save to save your changes without closing the comment dialog box. Click Save & Close to save your changes and close the comment window. Click Cancel to exit the screen without saving.
- Select the Check this box to sign this document electronically checkbox.
- Click Save.
MULTI-APPRAISERS
To mark an appraisal as Ready:
- In the Logged In As box change your Role to Multi-Appraiser.
- From the main menu, click Appraisals, then click Finish Appraisal.
- From the employee dropdown list on the toolbar, click the down arrow and select the user you wish to view or click Search on the toolbar.
- The Status Overview tab lists the steps in the appraisal process. As a multi-appraiser, the only step on the Finish Appraisal screen is to mark the appraisal as Ready for Meeting. This step will be clickable. You can also view the appraisal by clicking the View Current Appraisal link.
- Click on the Ready tab. The top section of this tab displays your next step. The Appraisal Checklist shows the status of each Factor and Goal. Make sure all Factors and Goals have been evaluated (evaluated items are indicated by a green check mark (√) for completed and items still requiring attention are highlighted in yellow). If you haven’t completed what is required, click on the item title to be taken to the corresponding section.
- If you wish to view the appraisal before you mark it as Ready, click the View Current Appraisal link. The appraisal may also be printed from this screen.
- When all items have been entered appropriately, click the Mark Ready button. The Mark Ready button can be found on the Status Overview tab as your next step or on the Ready tab.
Note:
You are finished. Multi-appraisers do not merge or complete appraisals. These are finalized by the primary appraiser.
To e-sign an appraisal:
- If you are required to E-sign your appraisal (your organization may not utilize this feature), click the Home button.
- In the Logged In As box change your Role to Multi-Appraiser.
- Under the To Be Signed widget, click the appropriate appraisal link.
- Review the appraisal one last time.
- Under the E-Signature heading at the bottom of the appraisal, click the Sign link.
