To activate and setup the Appraisal notification function:
- From the main menu, click System Setup, then click E-Mail Alerts.
- On the Appraisals tab, the Appraiser Notification options are on the left half of the screen. If the Self-Evaluation feature is Required or Optional, then the Employee Notification options will be on the right half of the screen.
- Under Choose e-mail type and schedule, click the Reminders box under Appraiser Notification to send e-mails to appraisers and/or under Employee Notification to send e-mails to employees.
- Choose when the notifications will be sent by clicking in the appropriate box under Reminders. The notification can go out 30 days, 2 weeks, 1 week, and/or a custom amount of days before the appraisal’s due date. Choose the timeframe for both appraisers and/or employees.
- Click in the Use due date box to have the notifications sent based on the due date rather than the appraisal end date (both found on the Employee Data page).
- Click in the Overdue box to activate e-mails for past-due appraisals. Make the selection for appraisers and/or employees.
- Choose when the overdue notifications will be sent by clicking in the appropriate box under Overdue. The notification can go out every week, every 2 days, every day, or a custom number of days after the appraisal was due. Choose the timeframe for both appraisers and/or employees.
- Click in the Use due date box to have the notifications sent based on the due date rather than the appraisal end date (both found on the Employee Data page).
- If you would like all appraisers and/or employees to receive the notifications, under Choose Recipients, click the All Appraisers and/or the All Employees radio buttons.
- If you would like only certain appraisers and/or employees to receive notifications, click the Selected Appraisers and/or Selected Employees radio buttons. Click the Select link.
- Click on the Appraiser or Employee header that appears to open the list. Select individual names by clicking the box beside the name. You may select all names in the list by clicking the Select All button. You may clear all of your selections by clicking the Clear All button. When your selections are complete, click Select to make the selections or Cancel to exit the screen without making the selections.
- In the Subject boxes, edit the default text as desired. Do this for both Reminders and Overdue as appropriate.
- In the Message boxes, edit the default text as desired. Basic word processing functions are available for the area. For appraisers, the system will auto fill the employee whose appraisal is due and the date it is due when the email is sent. For employees, the system will auto fill the date the self-appraisal is due when the email is sent.
- Click Spelling and/or Language Check to review your text.
- Click Save on the toolbar. The e-mail will be sent to the address shown in the E-mail field on the Employee Data screen.
